How to use KodiiPay for Windows

Direct answers for account setup, finding a home, tenant bookings, protected deposits, landlord operations, rent reports, analytics, expenses, and budgets in KodiiPay for Windows.

How do I download KodiiPay for Windows?

Use the KodiiPay website to get the official Windows installer. This is the supported route for the desktop app and it keeps the version aligned with the live release on the website.

  1. Open the KodiiPay Download page and go to the Windows Desktop App section.
  2. Select Download for Windows.
  3. Keep the file tied to the website install flow so you always get the correct Windows x64 package and the latest release details.

How do I install and open KodiiPay on Windows?

  1. After the download is complete, open your browser download list or the Windows Downloads folder.
  2. Run the Windows installer and follow the setup wizard.
  3. Choose the installation folder if prompted and finish the install. The app creates a Start menu shortcut and a desktop shortcut.
  4. Open KodiiPay from either shortcut. The sign-in screen opens with a QR sign-in view first, but you can switch to email sign-in or register.

How do I register a KodiiPay account?

  1. On the sign-in screen, select Register. You can also open the welcome screen and choose the role before continuing.
  2. Select I'm a Tenant or I'm a Landlord.
  3. Enter your first and last name, email address, Kenyan phone number, and password. The form also includes optional fields such as middle name, date of birth, gender, National ID or passport number, and referral code.
  4. Choose the ID document type shown in the form, confirm your password, and select Create Account.
  5. Once the account is created, the app opens the account security setup. Complete that now or skip it and set it up later from your profile.

Your desktop account is the same KodiiPay account you use on mobile. Do not create a separate account for the Windows app.

How do I secure my KodiiPay account on first run?

After registration, the first-run setup walks through account protection and device limits.

  1. Choose Biometric + PIN when Windows Hello or another supported system authenticator is available, or choose PIN Only.
  2. Create and confirm the four-digit PIN. That PIN acts as the backup when biometric unlock is selected.
  3. Choose the auto-lock delay: immediately, 1, 5, 10, or 30 minutes.
  4. Choose whether to enable email OTP at sign-in. If enabled, email sign-ins require a one-time code.
  5. Set the maximum number of regular signed-in devices. The default is one device, and you can increase it up to 10 if needed.
  6. Add a profile photo if you want, then save the config.

If the platform authenticator is not available, pick PIN Only. You can review lock, OTP, and device settings later in your profile.

How do I sign in to the desktop app with my phone?

QR sign-in is the default and fastest way to sign in on desktop. Keep the desktop screen open while you approve it from a phone already signed in to your KodiiPay account.

  1. On the phone, tap the QR scanner icon in the top-right of the KodiiPay home screen.
  2. Choose Link a Device.
  3. Choose Scan QR and point the phone camera at the code shown on the Windows screen. If the camera is not convenient, choose Enter Code and type the eight-character code shown under the QR.
  4. Review the device name and device type on the phone confirmation screen. Select Approve only if it is the computer you are linking.
  5. Once approved, the desktop app signs in automatically. The QR expires after a short window, and a new code can be generated from the desktop screen if needed.

This is a device-link approval flow: you do not type your password or M-Pesa PIN into the desktop app. The linked device shows in the mobile device list and can be revoked later if needed.

How do I sign in with email and password?

  1. On the QR screen, select Use email.
  2. Enter the email address and password used for your KodiiPay account, then select Sign in.
  3. If email OTP is enabled, enter the six-digit verification code sent to your email.
  4. If the device limit is full, the app asks you to verify with a six-digit email code before signing out the oldest regular session to make room.
  5. If app lock is configured, unlock it after sign-in. You can also switch back to Scan a QR instead at any time.

Forgot your password? Select Forgot? on the email sign-in screen and follow the reset flow.

How do I find pages in the KodiiPay desktop app?

The Windows app keeps its main navigation in the narrow bar on the far left. It is icon-only by design: hover over an icon to see its label, then click it. As a landlord, the main icons are Search, Dashboard, My Wallet, My Properties, Tenants, Services, Bookings, Payment Reports, and More.

  1. Click My Properties in the left bar to manage properties and start property setup.
  2. Click Tenants to view tenants. Its All Tenants section has an Add action that opens invitations.
  3. Click More in the left bar to open the full landlord menu. It contains Download Payment Reports, Expense Tracker, Budget Planner, Tenant Invitations, Maintenance Requests, Messages, Advanced Analytics, Units, Tenancy Agreements, Rent Management, Formal Notices, Payout Methods, Property Reviews, Referrals, Subscription & Billing, KYC Verification, Support, and Profile & Settings.
  4. Click your profile photo at the bottom of the left bar to open Profile. The Profile page has its own section list, including Payout Methods.

So when this guide says More → KYC Verification, click the bottom More icon in the left navigation bar, then choose the item named KYC Verification in the menu that opens.

What does the tenant Dashboard show, and where can I go from it?

Open Dashboard in the far-left sidebar, use the Home Dashboard result in Search, or click the KodiiPay home entry after sign-in. The tenant dashboard summarizes wallet and rent status, then provides shortcuts into the related pages.

  1. At the top, Available to withdraw is the current wallet balance. The four quick actions open Top Up, Pay Rent, Maintenance (REQUEST), and Withdrawals.
  2. Read the alert below the actions. Red text calls out overdue rent and the arrears amount, or reports a partial payment still outstanding. Select Pay now to open the relevant rent schedule; if there is no selected schedule, it opens the Pay Rent list.
  3. In Payment Status, This Month shows the paid percentage and Paid/Partial/Unpaid label. Prev Month shows the prior percentage and the change in percentage points. The lower row shows Total Due, Paid, and Balance; arrears, partial, and overdue labels appear when applicable. Use Pay Now in the panel to open rent payment.
  4. The percentage label is green Paid at 100%, amber Partial from 50% to under 100%, and red Unpaid below 50%. The separate status chips identify Paid, Due, Partial, and Overdue.
  5. Suggested For You is a horizontal shortcut carousel for Invitations, Messages, Maintenance, Notices, Find a Home, Referrals, and Reviews. Select a tile to open that page. Recent Transactions lists the latest completed activity; select a row to open its transaction detail.

What does the landlord Dashboard show, and how do I use its shortcuts?

Open Dashboard in the far-left sidebar or select Dashboard from Global Search. The page is a portfolio and rent-collection overview, with quick routes to common landlord tasks.

  1. The top balance is Available to withdraw. If the wallet is frozen, the label changes to WALLET BALANCE — FROZEN; the red Wallet Frozen banner gives the reason and its Renew button opens Subscription & Billing.
  2. The quick actions are ADD PROPERTY, SEND NOTICE, INVITE TENANT, and WITHDRAW. Add Property checks the subscription/property limit before opening the property wizard. The other actions open Notices, Invitations, and Withdrawals; subscription access may be required for gated actions.
  3. Collection Rate compares this month with the previous month. It shows the percentage and Good/Fair/Low indicator, the trend, Expected, Collected, and Pending amounts, and counts for paid, due, partial, and overdue schedules. Indicator colors are green for Good (80% or higher), amber for Fair (50–79%), and red for Low (below 50%).
  4. Suggested For You links to Messages, Maintenance, Notices, Referrals, Subscription & Billing, Wallet, and Units. Select a tile to open the page; gated destinations show the subscription access message when needed.
  5. Recent Transactions shows the latest completed activity. Select a row to inspect its transaction detail. If a section is unavailable, use the message shown by the page and open More → Subscription & Billing to review the plan.

How do I review my Wallet balance and transactions?

Select My Wallet in the far-left sidebar, or choose Wallet in Global Search. The same role-aware page is used for tenants and landlords. A Refresh control in the Wallet header reloads the balance, payout methods, and recent transactions.

  1. The left panel shows Available to withdraw, four role-specific quick actions, a seven-day activity chart, and completed Recent Transactions for the current month. The chart plots daily money movement from the last seven days.
  2. Tenant quick actions are TOP UP, PAY (rent), PAY BILL, and WITHDRAW. Landlord actions are WITHDRAW, SEND MONEY, TOP UP, and PAY BILL. Landlord actions may show a subscription-access prompt.
  3. Recent rows show the transaction direction, counterparty, amount, and date. Select a row to open its detail in the center panel; use the detail's Back control to return to the Wallet view. Before selecting a row, the center says Select a transaction to view details.
  4. Use TOP UP to add funds, PAY or the tenant sidebar's Pay Rent to pay a schedule, PAY BILL to pay a business, and WITHDRAW to request payout. For standalone payment history and downloadable statements, tenants use More → Download Payment History; landlords use Payment Reports.

How do I top up my KodiiPay Wallet?

Both roles can open Top Up from the Wallet's TOP UP quick action. Tenants can also open it from Global Search or the Dashboard's TOP UP action. If your M-Pesa phone is not set, select the phone prompt row to open Profile → Personal Info and add it before starting.

  1. Enter an amount in Amount (KES), or select one of the preset amounts: KES 3,500, 5,000, 7,500, 10,000, 12,500, 15,000, 17,500, 20,000, or 25,000. The input shows the configured minimum deposit; an amount below that minimum is rejected.
  2. Check the phone row to confirm the M-Pesa number that will receive the STK prompt. Select Send M-Pesa prompt. The page creates the pending deposit and sends the prompt to that number.
  3. Enter your M-Pesa PIN on your phone. The desktop shows Initiating deposit, Check your phone, and Confirming payment while it waits for Safaricom's result. Do not close the screen while confirmation is pending.
  4. On Payment confirmed!, select Done to return to My Wallet or Top up again to start another deposit. If the payment fails or times out, the page says the wallet was not charged; select Try Again.
  5. If Bank Transfer appears under Other way to fund, select it to expand the instructions. The panel shows Account Name, Account Number, and Paybill Number; select Copy beside each value, send from your banking app, and note that your phone number is the account number. This alternative appears only when Bank Funding is enabled.

How do I search, filter, and download my tenant Payment History?

Open More → Download Payment History, or choose Payment History in Global Search. The left panel is My Payments; select a tenancy row to open its statement in the center. The right notifications rail collapses while a statement is open.

  1. Search with Search by month or status… to filter the schedule rows. Select the sliders button to open Filter, choose a property, then Apply. The selected property appears as a removable filter chip; use Reset in the filter dialog to clear it.
  2. Select the calendar button to open the date range controls. Set From and To with the date pickers, then Apply. Future dates are unavailable, and the To date cannot be before From. Use Reset to return to the default range, which starts six months before today and ends today.
  3. The tenancy list shows property, unit, landlord, amount paid, outstanding balance, and an overdue count. A green Paid marker means there are no overdue schedules; a red count indicates overdue months. Scroll the list to load more records and use Refresh to reload.
  4. In the selected statement, review Total Paid, Outstanding, and Overdue, then the rent schedule columns: Month, Due, Paid on, Status, Paid, Balance, and Late. Statuses distinguish Fully Paid, Due, Partially Paid, Overdue, and Overdue (Partial). Completed bill payments appear in a separate section when present.
  5. Select Download to open Download Statement. Choose Full History or a custom date range, set the dates if custom, then select Download PDF. The generated statement contains the selected date range, totals, rent schedule rows, and bill payments when present.

If no payments match the current search and filters, clear the search, remove the property filter, or reset the date range. The empty state distinguishes no matches from a tenancy with no rent payment records.

How do I review my tenancy, lease terms, and agreement document?

Open Tenancy in the tenant sidebar, select More → My Tenancy, or choose My Tenancy in Global Search. The left list includes your current and past agreements; select Refresh to reload it.

  1. Select an agreement row to see the landlord name and phone, property and unit, location, and any bedroom, bathroom, or size details. The Monthly Charges section itemizes base rent, security deposit, water, electricity, service, garbage, and other charges where present, plus the total monthly charge.
  2. In Lease Terms, review start/end dates, payment frequency, rent due day, and notice period. Agreement Status shows separate Tenant Signed and Landlord Signed states. Green Signed means signed; gray Pending means that signature is outstanding.
  3. Status badges are green Active, amber Termination Pending, red Terminated, and blue Pending. Select View Lease Document if a document is attached; it opens externally.
  4. For an active agreement, select Request Termination and read the confirmation carefully before continuing. The landlord is notified and has 30 days to accept or reject. While the request is pending, the tenant cannot pay rent, rent schedules are paused, and the unit stays occupied until the landlord responds.

If no agreements exist, the list shows No Tenancy. Accepting a landlord invitation creates the tenancy; see How does a tenant find and accept a KodiiPay invitation?

How does a tenant report and track a maintenance request?

Open Maintenance from the Dashboard's REQUEST action or choose Maintenance Requests in Global Search. The tenant view lists your requests on the left, opens a selected request in the center, and keeps notifications on the right.

  1. Select New or Raise Request. Enter the required Title and Description, choose a category (Plumbing, Electrical, Structural, Painting, Security, Cleaning, HVAC, or Other), and choose a priority: Low, Medium, High, or Emergency.
  2. Optionally attach up to two photos. Remove an attached photo with its X button. An active tenancy is required; if there is no active tenancy, the form explains that a request cannot be submitted.
  3. Select Submit Request. Your new request appears in the list and the landlord is notified. The list shows an open-request count and each row's title, priority, status, submitted date, category, scheduled date when present, and landlord notes. Use Refresh to reload.
  4. Select a request to review its description, photo stages, progress timeline, submission/resolution times, scheduled date, contractor and phone, estimated/actual costs, and landlord notes. Priority colors are green Low, blue Medium, orange High, and red Emergency. Status colors are blue Open, purple Assigned, orange In Progress, green Resolved, and gray Cancelled.
  5. You may select Cancel Request while its status is Open or Assigned, then confirm. After it is Resolved, use the one-time Rate This Request section: select 1–5 stars, optionally add a review, and select Submit Rating.

How do I read and acknowledge a formal notice from my landlord?

Open Notices from Global Search, or choose Notices / Formal Notices in the tenant More menu. Both menu entries open the same received-notices page. The left list shows notice type, subject, date, and whether it is pending, acknowledged, or revoked.

  1. Check the count under Formal Notices. Pending acknowledgement counts notices that are neither acknowledged nor revoked. Select Refresh to reload the list.
  2. Select a notice to open its detail. Read the full notice body, notice type, subject, and date. If present, review Effective From and New Rent Amount. A revoked notice is explicitly marked inactive; its acknowledgement action is not available.
  3. For a notice marked Pending, select Acknowledge and confirm that you have read it. The detail then shows Acknowledged and the timeline records when you acknowledged it. The landlord can see that it was read.
  4. Select Back to return to the notice list. The notifications rail collapses while a notice detail is open.

How does a tenant request and track a withdrawal?

Open Withdrawals from Global Search, the Dashboard's WITHDRAW action, or the Wallet's WITHDRAW quick action. The tenant page shows a withdrawal form and recent requests on the left; select a recent request to open its detail in the center.

  1. Enter an Amount (KES) of at least KES 100. When the fee is available, compare the requested amount, transaction fee, and total required with Available to withdraw.
  2. Select an M-Pesa or PayBill payout method. Wallet methods are not withdrawal destinations. If none is listed, open Profile & Settings → Payout Methods, add M-Pesa or PayBill, then return and refresh.
  3. Select Continue. When the total exceeds the balance, the page shows the shortfall and offers Withdraw Max; review its amount/fee/total confirmation before accepting. Requests below KES 100 are rejected.
  4. The current desktop screen then displays OTP Confirmation and an Enter OTP sent to your phone field before Confirm & Request. Important: the current request handler does not pass this field's value to the withdrawal RPC, so do not treat the displayed code as verified authorization. The request itself is submitted with the selected payout method and amount.
  5. After submission, find the request under Recent Withdrawals. Select a row to inspect its amount, fee, net payout, status, and rejection reason when present. Use Refresh to reload the wallet, payout methods, and recent requests.

How does a tenant write, edit, and browse property reviews?

Open Reviews from Global Search, the tenant More menu, or the Dashboard's Suggested For You carousel. The left panel has My Reviews and Community tabs, a search field, and Refresh; selecting a review opens its detail in the center.

  1. Choose My Reviews to see your submissions or Community to browse other tenants' reviews for properties you have reviewed. Search matches property, tenant, or review text.
  2. Select Write a Review. Under Select Property, choose an eligible tenancy. Active, expired, terminated, and notice-given tenancies may appear. A tenancy already reviewed is placed under Already Reviewed and cannot be reviewed again.
  3. Choose the required 1–5-star Overall rating. Cleanliness, Security, Management, and Value for Money are optional ratings. Enter optional review text (up to 500 characters) and choose whether to turn on Post as anonymous; anonymous reviews do not display your name publicly.
  4. Select Submit Review. To change a review later, open it and select Edit; update its ratings, text, or anonymity and select Save Changes. Use Cancel or Back to leave without submitting.
  5. Review details show the overall and category ratings, written feedback, verified-stay label when applicable, community helpful/unhelpful counts, and any landlord response. Select Back to return to the list.

How do I submit KYC, and does KYC block property creation?

KYC is not a prerequisite for opening the property wizard or creating a property. You can submit KYC before or after property setup. Verification is used for trust-sensitive payout and withdrawal checks; property and unit creation have their own subscription access and plan-limit checks.

  1. In the far-left icon bar, hover over and click More.
  2. In the More menu, select KYC Verification. The page shows your current KYC status and the required document rows.
  3. For a landlord, upload one PDF containing the front and back of your ID and a passport-style photo, then upload a separate proof-of-address document and proof of ownership, such as a title deed or other evidence that you own or legally control the property.
  4. Select each document row, choose Upload (or Re-upload if replacing a file), and select the PDF. The page shows each document's status and the overall status while the team reviews it.

A pending or missing KYC status does not itself prevent property creation. If the app blocks a property or unit action, check the subscription message or property/unit limit shown by the app; those are separate from KYC.

How do I create a property and add rental units?

Open My Properties in the landlord sidebar or choose Properties in Global Search. This is a landlord-only workspace. Property record results in Global Search now open the matching Property Details screen directly.

Find and manage an existing property

  1. The left panel has a changeable cover photo, Search properties..., a filter button, and portfolio counts for Properties, Units, Occupied, and monthly Rent. Use the refresh icon to reload.
  2. Search properties by name or location. Select the sliders button to open Filter & Sort. Filter status by All, Active, Inactive, Under Maintenance, or Under Renovation; sort by Newest First, Oldest First, Name A → Z, Name Z → A, or Most Units; optionally set minimum and maximum unit counts. Select Apply Filters or Reset. Active filters appear below the search row; use Clear to remove them.
  3. Each property row shows its cover photo, name, county, unit count, occupied count, occupancy percentage, and status. Green means Active, gray means Inactive, amber means Under Maintenance, and blue means Under Renovation. Select the row to open details, or select its three-dot menu and choose View, Edit, or Delete.
  4. In Property Details, use the photo thumbnails to change the main gallery image; review Property Information and any listed Amenities. The Units in [property] section has All, Occupied, and Vacant filters, counts, and an Add action. Select a unit tile to edit that unit; adding a unit runs the plan's unit-limit check. The header's Edit button opens the property editor, and Refresh reloads property, photos, and units.
  5. In Edit Property, update the required Property Name, Property Type, and County. The county picker has its own search field. Property Status options are Active, Inactive, Under Maintenance, Under Renovation, Listed for Sale, and Delisted. Optional fields are Sub County, Ward, Street Address, Google Maps URL, Year Built, and Description. Toggle building amenities (Parking, Water, Electricity, Security, WiFi, Gym, Pool, CCTV, Borehole, and Gated), add/remove the Cover Photo and Additional Photos, and edit/add units in the Units section. Select Update to save; Property Name and County are required.
  6. Delete is irreversible. The confirmation warns that deleting the property also removes its units, tenancy agreements, rent schedules, invitations, and maintenance records. Subscription access is checked before property detail, edit, add, or delete actions.

Create a property and add units

Select Add in the properties panel to begin. Property setup is available before KYC approval; the app checks subscription access and property limits here, not KYC.

  1. In Property Details, enter the required Property Name, choose a Property Type, select the required County, and choose a Property Status. Sub County, Ward, Street Address, Google Maps URL, Year Built, and Description are also available.
  2. In Amenities, select any shared building amenities: Parking, Water, Electricity, Security, WiFi, Gym, Pool, CCTV, Borehole, or Gated.
  3. In Photos, optionally upload a cover photo and additional property photos. The maximum is four photos total, including the cover. Select Add Units to continue; this is where the unit plan-limit check is applied.
  4. In Unit Details, enter the required Unit Number. You can also add a unit name, floor, bedrooms, bathrooms, size, furnishing, unit status, description, and unit-specific amenities.
  5. In Unit Pricing, enter the required Base Rent (KES). Add any applicable Security Deposit, Water, Electricity, Service, Garbage, and Other Charges. The screen calculates the Total Monthly Charge.
  6. In Unit Photos, optionally add a cover photo and additional photos (up to four total for that unit), then select Add This Unit. The unit appears on Review & Create.
  7. On Review & Create, check the property and staged unit summaries. Choose Add Another Unit to repeat the unit steps, or select Create Property & Units to save them together.

The wizard has seven steps: Property Details → Amenities → Photos → Unit Details → Unit Pricing → Unit Photos → Review & Create. KYC approval is not one of its steps or gates.

How do I invite one tenant or invite multiple tenants?

After creating vacant units, open More → Tenant Invitations. You can also open Tenants from the left sidebar and select Add beside All Tenants. The page is titled Invite Tenants and offers Search & Invite Tenant or Invite Multiple Tenants.

Invite one tenant

  1. Select Search & Invite Tenant. In Phone Number, enter the tenant's Kenyan phone number beginning with +254. The form looks for a tenant account with that exact number. A match shows the tenant's name and confirms the account; if there is no match, the form says Tenant doesn't exist and explains that the person can join after accepting the invitation.
  2. Under Invitation Settings, choose an Invitation Expiry of 1, 3, 7, 14, or 30 days. The default is 7 days. You may also enter a personal note in Message (optional).
  3. Answer the required question under Payment Status: Has this tenant already paid rent for this month?
    • If yes, choose Yes, Already Paid, enter Amount Paid (KES), and select Date Paid in the calendar.
    • If no, choose No, Not Yet, then select the Rent Cycle start date. The screen explains that this becomes the monthly due date.
The form will not send until you choose one answer and fill in the matching payment details or rent-cycle date. The date picker does not allow a future date.
  4. Under Select Vacant Unit, choose the tenant's unit. Open Choose property & unit, search by property or unit number if needed, use a property filter when available, then select a vacant unit. Occupied or otherwise unavailable units are not offered.
  5. Select Send Invitation. The invite is added to Recent Invites; if the phone already belongs to a tenant account, KodiiPay also sends that tenant an in-app invitation notification.

Invite multiple tenants

  1. Select Invite Multiple Tenants. Under Add Tenants, enter a tenant phone number with the +254 prefix and click the plus button. The number must belong to an existing tenant account. This batch form does not add an unregistered number; it reports Tenant not found with this phone number. A duplicate phone number cannot be added twice.
  2. After adding a tenant, their name and phone appear in Assigned Tenants. Expand their row, choose Select a Unit, and pick one of the Available Units. A unit assigned to another person in this batch is removed from the remaining choices. Use Change to change a selection, the trash button to remove a tenant, and Done to collapse a completed row.
  3. For each tenant, answer the required Payment Status question using Paid or Not Paid.
    • Paid requires an Amount (KES) and a Date paid.
    • Not Paid requires a Rent cycle start date, which sets the rent due day.
Each tenant has their own payment answer and corresponding date/details.
  4. Once at least one tenant is added, choose the shared Invitation Expiry (1, 3, 7, 14, or 30 days; default 7) and optionally enter a shared Message.
  5. Review the Assigned Tenants count. Send [number] Invitations becomes available only when every tenant has a unit. Before sending, the form also checks that every tenant has a payment-status answer and the required amount/date or rent-cycle date. Correct any missing details it reports, then send the batch.

After either flow succeeds, open an item in Recent Invites to inspect its status and invite code. The landlord can use the invite's options to resend it with a new expiry or cancel it.

How does a tenant find and accept a KodiiPay invitation?

On the tenant account, open Search from the far-left sidebar and search for My Invitations. The tenant can also open the invitations tile on the Dashboard. The page lists invitations in the My Invitations panel; select one to inspect the property, unit, charges, landlord message, payment status, and expiry.

  1. For an unexpired pending invitation, select Accept Invitation. If you do not want the unit, select Decline and confirm in the Decline Invitation dialog.
  2. Accepting creates the tenancy and its rent schedule using the rent-cycle date and due day supplied by the landlord.
  3. If the invite says rent was already paid, the system records the supplied amount and payment date against the new schedule. Otherwise, the schedule shows the first rent due based on the selected rent-cycle start date.
  4. The landlord receives an invitation-accepted notification. The invitation detail then shows its accepted status; expired or previously answered invitations cannot be accepted.

The tenant does not need to pay during acceptance when the invite is marked No, Not Yet; the tenancy is still created and the rent schedule shows when payment is due.

How do I find and compare available homes on desktop?

As a tenant, open More → Find a Home. You can also click Search in the far-left sidebar, then choose the Find a Home result or quick-access link. The page keeps filters in a left panel and listings in the center.

  1. Browse the available sections: Featured homes, Recommended for you, Nearby you, Discover neighborhoods, and Continue browsing. Some curated sections appear only when matching listings or recommendation data are available.
  2. In the left Filters panel, choose a County, Property Type, number of Bedrooms (Any, Bedsitter, 1–4+), and Furnishing (Any, Unfurnished, Semi-furnished, Furnished). Enter optional minimum and maximum values under Price Range (KES); the range filters total monthly charges.
  3. Select Show Results to apply the panel filters. In the main content, property-type tiles and neighborhood chips are quick filters. When filters are active, use Reset to clear them.
  4. Use the search field above the listings to search by area, county, or property. Search results show the number of matching units, and scrolling loads more results. If nothing matches, adjust the filters or choose Clear Search & Filters.
  5. Listing cards show the property name and location, property type, bedrooms, bathrooms, total monthly charge, and up to three amenities. Select a card to open the full unit listing.
  6. In the unit listing, review photos, unit/property details, monthly charge breakdown, amenities, description, map link when available, and tenant reviews. Use Message Landlord to ask a question. For a vacant unit, Book This Unit opens the booking checkout; occupied units do not show the booking action.

The booking checkout and deposit steps are documented in How does a tenant book a vacant unit in KodiiPay? Once submitted, manage the request from Bookings in the sidebar.

How does a tenant book a vacant unit in KodiiPay?

As a tenant, open More → Find a Home or use the Search page to open Find a Home. Choose a vacant unit and open its listing. The booking action is in the Interested in this unit? panel beside Message Landlord.

  1. Select Book This Unit. Review the full Booking Summary: unit and property, monthly rent and charges, security deposit, transaction fee, and Due today.
  2. If the unit has a security deposit, choose Wallet or M-Pesa under Pay With. Wallet shows your available balance; it is disabled if the balance cannot cover deposit plus fee. M-Pesa requires a phone number saved in your Profile. If it is missing, add it there first.
  3. Select Pay from Wallet or Pay via M-Pesa. For M-Pesa, approve the STK prompt on your phone and keep checkout open while it confirms. The security deposit is held in KodiiPay escrow, not paid directly to the landlord. A shortfall error states the deposit, fee, total required, and available wallet balance.
  4. If the unit has no security deposit, checkout says nothing is due and the action is Send Booking Request. The landlord is notified, and there is no deposit payment step.
  5. After the request is created, KodiiPay opens Bookings. A paid-deposit booking becomes Awaiting Landlord; a zero-deposit booking is sent directly as a request. The unit is reserved only after the landlord accepts.

The escrow box explains when the deposit can be released. Do not confirm move-in until you have actually settled into the unit; that confirmation releases the held deposit to the landlord.

How do tenants and landlords manage a booking and its deposit?

Both roles open Bookings directly from the far-left sidebar. The page is shared, but the list and actions are scoped to your role. Select a booking row to open its detail panel; select Refresh to reload the list.

Use the list and read its status

  1. Choose All, Active, or Closed above the list. Active covers requests/reservations awaiting a decision or move-in confirmation; Closed covers completed, refunded, declined, or cancelled bookings.
  2. Each row shows the property, unit, other party, deposit amount, and deposit state. Select it to see contact details, monthly rent, escrow explanation, and a timeline of request, acceptance, move-in request, confirmation, release, refund, dispute, or cancellation events.
  3. Status chips use amber for Awaiting Payment, blue for Awaiting Landlord, green for Reserved and Completed, orange for Confirm Move-In, teal for Refunded, red for Declined, and slate for Cancelled. The escrow panel is amber while held, teal when refunded, and green when released.

Landlord actions

  1. For Awaiting Landlord, choose Accept to reserve the unit. Choose Decline and enter a reason; the reason is shared with the tenant and the deposit is refunded instantly to the tenant's wallet.
  2. After the tenant moves in, choose Tenant Has Moved In — Request Confirmation. This changes the booking to Confirm Move-In; the deposit remains in escrow until the tenant responds.
  3. When the tenant confirms settlement, the deposit is released to the landlord's configured payout destination. If M-Pesa is the release method, the payout is queued and may take a few minutes. KYC/subscription restrictions can force the deposit into the landlord's KodiiPay wallet instead of an external payout.

Tenant actions

  1. For Awaiting Landlord or Reserved, choose Cancel Booking and confirm to cancel; any held deposit is refunded to your wallet in full.
  2. When the landlord requests move-in confirmation, confirm only if you are truly settled in. Choose Yes — I have settled in to release the deposit to the landlord.
  3. If you have not settled in, choose No — I have not settled in, enter the reason, and submit the dispute. The full deposit is refunded to your wallet and both parties are notified.
  4. Use Message or the phone link in the booking detail to contact the other party.

If a landlord does not respond to a paid booking request within 48 hours, the system automatically cancels it and refunds the deposit. Unpaid, pending-payment bookings expire after 24 hours. The manager list excludes the pending-payment state while checkout is processing.

How do I find, filter, and manage tenants?

Click Tenants in the landlord's far-left sidebar. The screen is split into an All Tenants list on the left, a tenant detail panel in the center after you select someone, and a notifications rail on the right. An invitation does not appear as a tenancy until the tenant accepts it.

  1. Use Search tenants... to find a person by name. Select the sliders icon to open Filter & Sort. Choose a property or All Properties, a rent status, a tenancy status, and a sort order, then select Apply Filters. Choose Reset in the dialog to restore the default filter.
  2. Rent-status filters are All, Overdue, Partial, Due, and Paid. Tenancy-status filters are All, Active, Notice Given, and Terminated. Sort by newest, oldest, name A–Z, rent high–low, or rent low–high.
  3. The top counters show Total, Paid, Due, and Overdue. Select Add beside All Tenants to go to tenant invitations; it does not create a tenancy by itself.
  4. Select a tenant row to open Tenant Details. The list loads more tenants as you scroll. Select the refresh icon to reload the list.

Read the status colors

  • Red means rent is overdue.
  • Blue means the current rent schedule is partially paid.
  • Amber means rent is due, or the tenant has submitted a termination request awaiting your response.
  • Green means the current schedule is paid or the tenancy is active.
  • Gray means there is no rent status to show. A termination-request tenant is also highlighted in a separate amber Termination Pending – Action Required row above the regular tenant list.

What can I review and do in Tenant Details?

Open Tenants in the sidebar and select a row. The detail pane is a tenant-and-tenancy workspace, not just a profile card.

  1. At the top, verify the tenant's name, phone, tenancy status, property, unit, and location. The monthly charges section lists rent and any configured water, electricity, service, garbage, other charges, and total monthly amount.
  2. Current Month shows the rent status, total due, amount already paid, balance, and late information. Unpaid Rent lists the open schedules; expand a schedule to inspect its due date, charge breakdown, payments, and remaining balance.
  3. Financial Overview summarizes rent paid and still owed. The property/unit section shows the lease dates, unit details, and the tenant's occupancy; Recent Payments lists recorded rent transactions.
  4. In Actions → Quick Actions, choose Message, Record rent, Send Notice, or Adjust Rent. Each action opens its form with this tenancy preselected.
  5. Use Back to tenants in the detail header to return to the list. When a tenant is selected, the right notifications rail collapses to give the detail pane more room.

Rent status uses a consistent palette across the list and detail view: red overdue, amber due, blue partial, and green paid. A tenant with an overdue partial payment is still shown as overdue, with the partial amount visible in the schedule details.

How do I record rent that a tenant paid outside KodiiPay?

There are two exact routes: from Tenants → select tenant → Record rent, or from More → Rent Management. The tenant-detail action opens the form for that tenant's tenancy directly. This tool records an offline payment; it does not charge, debit, or credit a KodiiPay wallet.

  1. Check the tenant, property, and unit shown at the top of Record Payment. Review the Billing Period card. By default, the form selects the first unpaid/current schedule; use Change Month to choose another current, upcoming, or unpaid past schedule.
  2. Pay attention to the schedule warning. A red warning means you skipped an earlier unpaid month and offers Switch to return to the first unpaid month. An amber warning means the selected schedule is in a future month and is not due yet.
  3. Review Rent Due, Already Paid, and Balance Due. Enter the amount received under Amount Paid (KES). The amount must be greater than zero. A partial amount updates the remaining balance; an amount over the balance pays the selected month and carries the excess to the next month's schedule.
  4. Select the recorded Payment Method: Bank, M-Pesa, Cash, or Check. Add a Payment Reference (optional, for example an M-Pesa code or bank reference) and Notes if useful.
  5. Select Record Payment. Review the Confirm Payment summary, including the amount applied to this month and any amount carried forward, then select the confirmation action to save. Select Cancel to return without recording.
  6. If the tenancy has no rent schedule, select Create Schedule for This Month first, then enter the payment. A schedule already marked fully paid cannot be recorded again.

After saving, the rent schedule and transaction record update and the tenant is notified. This is a bookkeeping record for money received outside the app; no M-Pesa prompt or in-app wallet movement occurs.

How do I adjust a rent schedule, add a penalty, or waive one?

Open Tenants, select a tenant, then choose Adjust Rent under Actions → Quick Actions. The form starts with that tenancy selected. You can also select a different tenant from the list on the left.

  1. Choose a rent schedule. The picker includes the current month, upcoming months, and unpaid/partially paid past months. Use Change to switch schedules. The status colors are red overdue, amber due, blue partial, and green paid.
  2. Choose one of the three tabs:
    • Adjust Rent changes this schedule only. Set New Amount replaces its total due with the exact amount you enter; Apply Reduction subtracts the entered amount from the current total, down to zero.
    • Add Penalty adds a positive penalty on top of the selected schedule's total due.
    • Waive Penalty removes an active penalty. It is available only when the selected schedule has an active penalty.
  3. Enter the requested amount when the selected tab requires one. The live preview shows the resulting total. Optionally enter a Reason; it is saved with the schedule notes.
  4. Select the action button, such as Set Amount, Apply Reduction, Add Penalty, or Waive Penalty. Review the confirmation summary, which states the schedule month and new total and confirms that only this schedule changes. Select Apply to commit or Cancel to stop.

This changes the selected rent schedule; it does not change the unit's base rent or automatically change every future month. Use the preview and confirmation carefully before applying.

How do I terminate a lease or respond to a tenant's request?

Lease termination is handled from Tenants → select tenant → Tenant Details, not from the Tenancy Agreements viewer. It is a permanent action: the app warns that the tenancy and its rent schedules/payment history will be removed, the tenant will lose access to the property, and the unit will become vacant.

Start a landlord-initiated termination

  1. In Actions → Lease Controls, select Terminate Lease. This is shown for an active tenancy and may require subscription access.
  2. Read the irreversible-action warning. Enter a non-empty Reason for termination; the text is sent to the tenant, so keep it factual and clear.
  3. Select Terminate Lease in the dialog. The termination is processed, the tenant receives an urgent in-app notice containing the reason, and the tenancy is removed from the active detail view.

Respond to a tenant termination request

  1. Termination requests appear as an amber Termination Pending – Action Required tenant row. Select it to open Tenant Details. The request panel says rent payments/schedules are paused, the unit remains occupied, and the response deadline is 30 days.
  2. Select Accept and confirm to end the tenancy permanently; the unit becomes vacant and the tenant is notified. Select Reject and confirm to return the tenancy to active status; rent schedules continue and the tenant is notified.

Do not use termination just to set a future lease end date. The Tenant Details lease summary shows the existing start/end dates; termination deletes tenancy-related rent schedule and payment-history data and cannot be undone from the desktop screen.

How do I review tenancy agreements and signature status?

Open the bottom More icon in the landlord sidebar and select Tenancy Agreements. This page is a viewer for agreements; to record rent, adjust a schedule, or terminate a lease, use the actions on the selected tenant's Tenant Details page instead.

  1. Select an agreement row in the left panel. The row identifies the tenant and phone, property and unit, and tenancy status. Use Refresh to reload the agreements.
  2. In the detail view, check the property/unit information and Monthly Charges, including agreed rent, base rent, security deposit, utilities, service/garbage/other charges, and total monthly amount.
  3. Under Lease Terms, review start and end date, payment frequency, rent due day, and notice period.
  4. Under Agreement Status, check Tenant Signed and Landlord Signed. Green Signed indicates a completed signature; gray Pending means that party has not signed.

Status chips use green for Active, amber for Termination Pending, red for Terminated, and blue for Pending. This view does not itself offer a terminate button.

How do I add a payout method or PayBill for rent?

For a landlord, open More → Payout Methods, or click the profile photo at the bottom of the left sidebar and choose Payout Methods in the Profile page's section list. The same Payout Methods section is also available to tenants.

  1. In the Payout Methods section, select Add. In the Add Payout Method dialog, choose M-Pesa, PayBill / Bank, or Wallet.
  2. For M-Pesa, enter the destination phone number in M-Pesa number. For PayBill / Bank, enter the PayBill business number and the PayBill account number. This option is a PayBill destination, not a conventional bank account. Wallet selects the built-in KodiiPay wallet and needs no external account details.
  3. Optionally enter a Nickname, then select Save Payout Method. The saved method appears in the list.
  4. Use Set default beside the method you want as the default. The pencil button edits a method; the trash button removes it. A Default badge marks the current default.

A saved PayBill method is the landlord's direct PayBill destination when the tenant uses the Bank Transfer rent option, subject to the payment pipeline's subscription and KYC checks. M-Pesa remains a withdrawal destination; rent paid to the KodiiPay wallet is withdrawn through the wallet flow.

How do I request and track a landlord withdrawal?

Open Dashboard from the far-left icon bar, then select the WITHDRAW quick action. Withdrawals is not an item in the landlord More menu.

  1. Check Available to withdraw. The desktop form currently requires at least KES 100 and checks that the wallet has enough available balance.
  2. KYC must be approved or verified. If the status is missing, pending, under review, or rejected, follow the on-screen message and open More → KYC Verification to submit or re-upload the required PDFs.
  3. Enter the amount under Amount (KES) and select a saved destination under Payout Method. M-Pesa and PayBill / Bank methods are available; the built-in Wallet method is not a withdrawal destination.
  4. If no destination is listed, open More → Payout Methods or click the profile photo at the bottom of the sidebar and choose Payout Methods. Add an M-Pesa number or PayBill business number and account number, then return and refresh Withdrawals.
  5. Select Request. The request is submitted for processing. Open it under Recent Withdrawals to see requested amount, fee, net amount to disburse, payout method, reference, status, timestamps, and any rejection reason. Statuses include initiated, processing, completed, and failed.

The recent list may also show completed rent payments sent directly to a landlord PayBill as Bank Transfer. These are incoming rent disbursements, not withdrawal requests, and are read-only here.

How do I send, find, and manage formal notices?

Click the bottom More icon in the far-left sidebar, then choose Formal Notices. You can also start from a tenant row by selecting Send Notice.

Send a notice

  1. On Formal Notices, select New. In the new-notice page, select the tenant's tenancy from the tenant list on the left. The center form then shows the recipient and unit.
  2. Choose a Notice Type: rent increase, lease renewal, eviction, maintenance, or general.
  3. Enter both Subject and Message. For a rent-increase notice, enter the New Rent Amount (KES) in the additional section.
  4. Optionally select an Effective Date in the calendar. Review the recipient and content, then select Send Notice.
  5. The notice is stored in the tenant's notice records and triggers an in-app notification. The tenant may acknowledge it; the landlord can see that acknowledgement in the notice timeline.

Find or revoke a notice

  1. Search the left list by tenant or subject. Filter with All, the visible notice-type chips, or More for the remaining types. Select Refresh to reload.
  2. Select a notice row to review the tenant, unit, content, effective date, and sent/acknowledged/revoked timeline.
  3. If it has not already been revoked, select Revoke Notice and confirm. The page marks it revoked; it does not provide a restore action.

How do I use Payment Reports to review and export rent records?

Select Payment Reports in the landlord sidebar, or open More → Download Payment Reports. The workspace's own left-panel heading currently reads Payment History.

Review a tenant's rent records

  1. Search with Search by tenant name.... Select the filter icon to choose All Properties or one property, then select Apply; choose Reset to clear the property filter.
  2. Select a tenant row to open the detail panel. Its summary shows total paid, outstanding balance, and overdue count, along with the tenant's contact details.
  3. Expand Rent Schedule to review each month, due date, paid date, status, amount paid, balance, and early/on-time/late indicator. Use Message or Send Notice for follow-up.
  4. Scroll near the bottom of the tenant list to load more records. Use Refresh when you need to reload the report data.

Download a PDF

  1. Select Download. In Download Report, choose All Properties or one property.
  2. Choose All Tenants, or search for and select one tenant.
  3. Choose Full History or Custom Range. For a custom range, set From and To in the calendars. The end date cannot be before the start date or later than today.
  4. Select Generate Report. KodiiPay builds a PDF with rent schedules and payment statuses grouped by property and tenant, then opens the desktop PDF save flow.

Use Payment Reports for tenant-level rent collection review and scoped exports. For portfolio-wide financial, occupancy, or combined reports, open Advanced Analytics → Reports.

How do I navigate and operate Advanced Analytics?

Open More → Advanced Analytics. Select a tab in the page's left panel to change the center report. Use the refresh icon at the top to reload. If the page displays a lock screen, use its upgrade action to review plans; analytics access is plan-controlled.

  1. Overview shows portfolio counts, monthly rent, overdue amounts, year-to-date revenue and expenses, portfolio health, a six-month revenue trend, profit/margin, occupancy, and top properties. Select View All under Top Properties to open Properties.
  2. Financial summarizes gross revenue, expenses, net profit, margin, and transactions with monthly charts and rows. Switch among 3M, 6M, and 12M to change the period.
  3. Occupancy compares occupied and vacant units, potential and current rent, revenue leakage, collection rate, collected and outstanding rent, and per-property occupancy.
  4. Tenants shows active/all-time tenant counts, average rent, on-time rate, paid/overdue invoice counts, and links to View All Tenants, Rent Schedules, Send Notice, and Invite Tenant.
  5. Payment History is a tenant-by-tenant report tab. Search by tenant, expand a tenant row for schedule details, refresh, or select Download to open the scoped Payment Reports PDF dialog.
  6. Reports exports Financial Summary, Occupancy Report, Payment History Report, or Full Portfolio Report as PDFs through the desktop save flow.

How do I record, find, edit, and report property expenses?

Open More → Expense Tracker. If the feature is not available on your plan, the screen shows a lock panel and a route to review subscriptions. The left panel contains the totals, date filters, category summaries, search, and expense list; the center panel shows a selected expense or its form.

  1. Select the + button beside Expenses. Enter Amount (KES) and choose one budget. Every new expense must belong to a budget; if none exists, select Go to Budget Planner and create one first.
  2. Enter a description and choose the expense Date. The date must be inside the selected budget's start/end dates. Starting from a budget's Add an expense to this budget action preselects that budget.
  3. Under Options, toggle Tax deductible if applicable. Toggle Recurring to choose Weekly, Monthly, Quarterly, or Yearly.
  4. Under Receipt, select Attach receipt and choose an image. Use Replace receipt or Remove to change it. Select Add Expense to save or Cancel to leave without saving.
  5. Filter records with 7D, 30D, 90D, Year, or All. Search expenses by description/category and select category chips or a segment of the category bar. The totals and monthly trend reflect the filtered list.
  6. Select an expense row to inspect its amount, category, date, flags, linked budget, and receipt. Choose Edit, then Save Changes. To delete, select Delete Expense, then select it again when it changes to Tap again to confirm.
  7. Select the download icon in the Expenses header to save an expense PDF from the current filtered results. Use the refresh icon to reload the records.

Expense categories are Maintenance, Utilities, Supplies, Repairs, Cleaning, Insurance, Property Tax, and Other. Repairs and Cleaning roll into the Maintenance budget category; Insurance and Property Tax roll into Other.

How do I create and manage budgets in Budget Planner?

Open More → Budget Planner. If plan access is unavailable, the page shows a lock panel and an upgrade route. Budget Planner and Expense Tracker are connected: expenses must be assigned to a budget and count against its amount and date period.

  1. Select the + button beside Budgets. Enter a positive Budget amount (KES), choose a Category (Maintenance, Utilities, Supplies, or Other), and enter a Budget name.
  2. Set Start date and End date using the calendar, or choose a This month, This quarter, or This year preset. The end date is adjusted if it would fall before the start date.
  3. Under Options, optionally toggle Rollover. Choose Alert at and select 50%, 60%, 70%, 80%, 90%, or 100%. Select Create Budget.
  4. Filter the list with Month, Quarter, Year, or All; search by budget name. The summary shows total budgeted, spent, near-limit budgets, and over-budget budgets. Select refresh to reload.
  5. Select a budget row to see spend progress, dates, alert threshold, rollover status, and its linked expenses. Select Edit and then Save Changes, or select Delete Budget twice to confirm deletion.
  6. In a budget's detail, select Add an expense to this budget to open Expense Tracker with the budget preselected. Choose an expense date inside that budget's date range before saving.

A budget owns the expense category and roll-up. The app blocks saving an expense dated outside its selected budget's period so the dates and totals stay consistent.

How do I manage tenant maintenance requests?

Open More → Maintenance Requests. The left inbox shows requests from your tenants; select one to open its detail panel. The page is for landlord triage and updates. Tenants submit requests from their own Maintenance page.

  1. Use the status chips All, Open, and Assigned. Select More for In Progress or Resolved. The count reflects the current filter; use Refresh to reload.
  2. Each request row shows tenant, unit, submitted date, title, category, priority, description preview, and a photo thumbnail when available. Priority colors are green Low, blue Medium, orange High, and red Emergency.
  3. Open a request to read its full description and photos; photo labels indicate the attached stage. In the progress control, click a status step to update it. Status choices are Open → Assigned → In Progress → Resolved; the tenant is notified of status changes. Cancel Request is available until the request is resolved or cancelled.
  4. Under Assign & Schedule, enter any combination of Contractor name, Phone, Schedule Date, and Actual Cost (KES), then select Save Assignment. Assigning a contractor to an Open request automatically changes it to Assigned and notifies the tenant.
  5. Under Landlord Notes, enter or replace notes and select Save Notes. The tenant receives an update notification when notes are saved.

How do I use Messages for direct and group chats?

Open More → Messages. The page has a conversation list on the left, the selected chat in the middle, and a details or in-chat search panel on the right. Messages are end-to-end encrypted.

Find or start a conversation

  1. Use the chat-list search to find a person by name or phone. Choose All, Unread, or Archived to change the list. Pinned chats sort first; unread chats show a count. Select a row to open it.
  2. Select the new-conversation icon to open the in-panel composer. Contacts lists your relevant contacts: landlords and same-property neighbours for tenants; tenants plus searchable active users for landlords. Search by name or phone, then select a contact to open the direct chat.
  3. In Dial, enter a Kenyan mobile number in 07xx/01xx or +254 format and select Find. Check the matched KodiiPay user, then select Chat. An unregistered number or your own number cannot start a chat.
  4. In New group, enter a group name, optionally add a group photo, search/select members, and choose Create group. A group needs a name and at least one member; use Dial first for someone who is not in your available contacts.

Use the chat

  1. Type in Type a message... and select Send, or press Enter; Shift+Enter adds a line. Select the emoji control to insert an emoji. Use the paperclip to attach an image.
  2. When the text field is empty, select the microphone to record a voice note, then select Stop to finish and send. Select a message's reaction control to react, or use its message menu to reply, forward, or manage your own message where those actions are offered.
  3. Use the conversation header's search icon to search messages in that chat. Select the header or info icon to open conversation details. Direct chats and groups show their relevant contact/member information; group managers can update group information and membership.
  4. Polls appear as interactive chat messages: select an option to vote and see vote totals. Typing indicators and read receipts appear in the thread when available.

The conversation list also supports selecting multiple chats for archive/unarchive actions. Use the Archived tab to find chats removed from the main list.

How do I manage existing units from the Units page?

Open More → Units. Select a property from the shared property list on the left; the center panel then shows only that property's units.

  1. Use the All, Occupied, and Vacant count chips to filter the grid. Use Search units... to find a unit by number or name. Scroll to load more and select Refresh to reload.
  2. Select Add beside the property unit count to open Add a Unit. Enter the required unit number and base rent; provide the name, floor, bedrooms, bathrooms, size, furnishing, status, description, custom amenities, security deposit, and applicable charges.
  3. Under Unit Photos, add a cover and additional photos, up to four total. Save with Add Unit. Unit creation is checked against the subscription's unit limit; if blocked, follow the upgrade prompt.
  4. Select a unit tile to open Edit Unit. Update its unit details, occupancy status, monthly price/charges, amenities, and photos, then select Save. The edit form requires both unit number and unit name; the Units list itself does not show a delete action.

The status chips count occupied and vacant units for the selected property. To create the property and its first units in one flow, use My Properties → Add Property and follow the seven-step wizard documented earlier.

How do I review and respond to Property Reviews?

Open More → Property Reviews. The landlord view is a Reviews Inbox across your properties. It shows reviews from tenants and a pending-response count; tenants use the role-specific Reviews page to write their own reviews and browse community reviews.

  1. Use Search tenant, property… to narrow the list, and select Refresh to reload. Review rows show the property, reviewer (or Anonymous), overall stars, date, and response status.
  2. Select a review to read its written text and the overall, cleanliness, security, management, and value ratings. The detail may also show a Verified stay label, a flag, helpful/unhelpful counts, and any existing public landlord response.
  3. When no response exists, write one in the response panel and select Publish. The response is public to tenants browsing the property. The form allows up to 1,000 characters; use Tips for a great response for the built-in guidance.
  4. For an existing response, choose Edit your response, update the text, and publish the change. The list uses amber for Pending response and green for Responded.

How do I share my referral code and track rewards?

Open More → Referrals. The overview shows your referral code, the current configured reward, total referred, total bonus amount, and credited amount.

  1. Select Copy Code to copy only your code, or Share to open the system share sheet. If sharing is unavailable, KodiiPay copies the referral message to the clipboard.
  2. The visible process is: share your code, the friend signs up, they subscribe, then the qualifying reward is credited. The reward amount is controlled by KodiiPay settings and appears in the screen; it is not a fixed value in the guide.
  3. Use All, Credited, or Pending to filter the referral list, search by referred person's name, and select a row to view its bonus, status, and creation date.
  4. Use Refresh to reload. A Pending referral is waiting for the qualifying event; this personal referrals page is for tracking and sharing, not manually crediting a reward.

How do I review, upgrade, renew, or cancel a subscription?

Open More → Subscription & Billing. The left panel shows your current plan/status, days remaining, property and unit usage, enabled features, billing cycle, and auto-renew setting. Select Refresh to reload current status and usage.

  1. Read the status chip: green is Active, blue is Trial, amber is Cancelled, and red is Expired. Check the resource rings and feature list to see what the current plan includes.
  2. Under Billing, use the Auto-renew switch to turn renewal on or off. With auto-renew on, the wallet is charged at the billing renewal; with it off, the screen shows reminders before expiry and manual-renewal reminders afterward.
  3. In the right Upgrade Plan panel, switch between Monthly and Annual, compare plan cards, and select a plan. The card shows price, limits, and included features. Selecting a paid plan opens Checkout; the Free plan requires no payment.
  4. For a paid plan, review the plan, cycle, and amount, choose the auto-renew setting, and confirm. Payment is by M-Pesa STK to the phone in Profile. Enter the PIN on your phone and wait for Safaricom confirmation; the screen polls for up to three minutes and shows success or failure.
  5. If your M-Pesa phone is missing, add it under Profile & Settings → Personal Info. If you choose Cancel Subscription, read the warning: cancellation downgrades to Free immediately and removes premium access. Choose Keep plan or Cancel anyway.

How do I submit and track a Support ticket?

Open More → Support or choose Support Tickets in Global Search. Tenants and landlords use the same three-panel page, but the ticket list is scoped to the signed-in user and the category choices differ by role.

  1. Select New. Tenants can choose account, payment, maintenance, tenancy, technical, or other. Landlords can choose account, payment, property, tenancy, technical, or other.
  2. Enter a concise Subject and fill Describe your issue with details, then select Submit to Admin. Both subject and description are required; the ticket is created as open with normal priority.
  3. Select a ticket in the left list to see its status badge, subject, creation date, and conversation. Your message and KodiiPay replies show their sender and timestamp. Use Refresh to reload tickets; select Back to return from a ticket detail.

The ticket detail is a conversation viewer and has no reply composer for either role. Submit a new ticket for a separate issue; use the existing thread to read responses. The empty detail explains when a ticket does not yet have a user message.

How do I manage Profile & Settings on desktop?

Open More → Profile & Settings, or click your avatar at the bottom of the far-left sidebar. In the profile page's left panel, select a section to show it in the center panel. If you want to return to the profile later, either entry path opens the same account page.

  1. Personal Info: select Edit Info to change First Name, Last Name, Middle Name, and Phone. The +254 prefix is fixed; edit only the local phone digits. Email is read-only. Select Save to apply or Cancel to discard. The photo controls are separate: use Upload Photo or Replace Photo, then View to inspect it or Remove to clear it. Landlords also see their current plan and property rating here.
  2. Security: select Change beside Change Password. Enter the Current Password, a New Password of at least six characters, and the matching confirmation; select Update Password or Cancel. Toggle Email OTP at Sign-In to require an emailed one-time code after password sign-in. Use the minus/plus controls to set Max Devices from 1 to 10; the number shown between the controls is the current limit.
  3. App Lock: toggle Enable App Lock. The first-time setup opens the separate security wizard to choose the lock, create and confirm a PIN, and configure protection. Once enabled, choose PIN Only or Biometric + PIN, then choose an auto-lock delay: Immediately, 1 min, 5 min, 10 min, or 30 min.
  4. Notifications: set each switch independently: Push notifications, SMS notifications, Email notifications, In-app notifications, Payment reminders, Maintenance updates, Lease expiry alerts, and Marketing emails. Each preference saves when its switch changes.
  5. Payout Methods: select Add, then choose M-Pesa, PayBill / Bank, or Wallet and enter the fields requested for that method. PayBill / Bank stores a business number and account number, not an ordinary bank account. On a saved row, select Set default (and confirm) to change the default, use the pencil button to edit, or the trash button and confirm to remove it. The green Default badge identifies the current default. The More-menu Payout Methods shortcut opens this section directly; see How do I add a payout method or PayBill for rent? for field-by-field instructions.
  6. Active Sessions: review the active/total counts and the separate Linked devices and Signed-in devices groups. Select a device row to inspect its device, IP, and session details. Revoke an individual other session from its details, use Clear Signed Out to remove inactive rows from the list, or select Sign Out All Other Devices and confirm to revoke the other sessions while keeping this one.
  7. Danger Zone: select Delete, then complete both confirmation dialogs to permanently delete the account and associated data. This is irreversible. To end only the current session, use Sign Out from the More menu instead; signing out does not delete the account.

The page keeps section navigation on the left, the selected settings in the center, and notifications on the right until a section is selected. The bottom avatar and More → Profile & Settings both open the same profile; the More → Payout Methods shortcut opens Profile directly at that section for both roles.

How do I use Services as a tenant or landlord?

Open Services from the far-left sidebar. For tenants it is under Account; for landlords it is under Money. It is not a More-menu item. The Services workspace has a scrollable service list on the left, a center panel that changes from the Pay Bill illustration to the bank-selection/loading state, and a notifications rail on the right. Use the header's Refresh button to reload active service billers, or the active bank list while choosing a bank.

Recently Used keeps up to five shortcuts. Right-click a recent tile to show its remove button; removing it clears only the shortcut, not the service or its records. The tenant Buy Goods card is recorded under the Merchant Pay shortcut. Pochi and the landlord Lipa na M-Pesa cards do not create Recently Used entries.

Tenant Services

  1. Main Services contains Send Money (opens the phone recipient and amount flow), Wallet Transfer (My Wallet), Bank Transfer (opens the active-bank picker), Paybill (Pay Bill form), Merchant Pay (Till mode), Add Money (Top Up), Withdraw (withdrawal request), and Transaction History (My Wallet ledger). In the bank picker, select a listed bank to open Pay Bill with its business number and account label filled in. Use the back arrow to return to Services; if no active banks are listed, refresh or return and choose another payment route.
  2. Lipa na M-Pesa contains Buy Goods & Services and Pochi la Biashara. For Buy Goods, open the Till payment form, enter a 5–7 digit Till Number and an amount of at least KES 10, then review the transaction fee and total before confirming; an account number is not required. For Pochi, enter the merchant's Kenyan phone number, confirm it by re-entering it, enter the amount, review the fee and total, and confirm the send. Pochi is sent to the merchant's M-Pesa phone through the Send Money flow. If your wallet balance is short, use Add Money and retry.
  3. Pay Bills & Services contains School Fees, Electricity, DStv, GoTV, Zuku, StarTimes, Showmax, SHA, Water Bill, WiFi, Insurance, Loan Repayment, and Others. Select a tile to open Pay Bill; when an active biller is configured, its business number and account label are prefilled. Otherwise enter the biller details yourself, including the account reference, amount, and any other required fields, then review the fee and total before payment.

Landlord Services

  1. Main Services contains Send Money, Paybill, Bank Transfer, View Earnings, Manage Rent, Manage Tenants, Properties, Support, Advanced Analytics, Budget Planner, Expense Tracker, Maintenance Tracker, Document Storage, Maintenance Reports, Send Notices, Invoices, Payment History, and See All Features. View Earnings opens My Wallet; Bank Transfer opens the active-bank picker described above; Manage Rent opens the desktop Rent Management / Record Rent Payment workflow; Manage Tenants and Properties open their management pages; Support opens the role-aware Support page; Advanced Analytics, Budget Planner, and Expense Tracker open their matching tools. Maintenance Tracker and Maintenance Reports both open Maintenance. Send Notices opens Formal Notices; Invoices and Payment History open Payment Reports; See All Features opens Subscription & Billing. Document Storage is shown as a mobile-app-only feature on desktop.
  2. Lipa na M-Pesa contains Buy Goods & Services (Till payment) and Pochi la Biashara (merchant phone through the Send Money flow). Enter a Till number of 5–7 digits or confirm the merchant phone as applicable, enter at least KES 10, and review the fee and total before confirming. These two cards bypass the landlord subscription prompt.
  3. Pay Bill Services contains School Fees, Electricity, DStv, GoTV, Zuku, StarTimes, SHA, Water Bill, WiFi, Insurance, Loan Repayment, and Others. Showmax is tenant-only and therefore is not listed for landlords. Active biller records prefill the Pay Bill form; if no biller is configured, enter the business number, account reference, amount, and other requested details manually.
  4. Other landlord Main Services are subject to the subscription-access check. If access is unavailable, the tile shows the subscription message and a View Plans action. Support remains available without that gate. Blank layout placeholders from mobile are not displayed as desktop tiles.

Find a Home, Pay Rent, Invitations, Maintenance Requests, Messages, and Reviews are not extra Services tiles; open them through their dedicated sidebar, Search, Dashboard, or More-menu entries. For the tenant rent workflow, continue to How does a tenant pay rent on the desktop app?

How do I send money or pay a merchant's Pochi from desktop?

Open Send Money from Global Search or your role's Services page. For a merchant Pochi payment, select Pochi la Biashara under Services → Lipa na M-Pesa; it opens the same page in Pochi mode. The left form shows Available to send, the recipient/amount steps, and recent send/receive movements; selecting a movement opens its detail in the center.

  1. On the recipient step, enter the recipient's local nine-digit mobile number after the fixed +254 prefix, then enter it again under Confirm number. Select Continue; the two entries must match. This desktop form uses a manually entered phone number rather than a contact picker.
  2. On the amount step, verify the confirmed phone and select Change if it is wrong. Enter at least KES 10. The page calculates the current transaction fee and shows Total required; the wallet must cover amount plus fee. If it is short, top up separately and restart the send.
  3. Select Continue to review the recipient, amount, fee, and total. Select Back to change the amount or Send to open the final confirmation dialog. In the dialog, verify the phone and amount, then choose Cancel or Send.
  4. Wait while the page shows Sending to…. The result screen shows Sent successfully! and the destination, or Send failed with the error. Use Try Again or Back after failure, and Send Another after success.
  5. Recent Transactions shows up to 100 send/receive movements with counterparty, amount, date, time, and status. Select a row to inspect sent/received direction, parties and phone numbers, gross amount, fee, net, reference, date, status, and B2C details when present. Select the detail's X/back control to return.

In Pochi mode the labels change to Merchant's M-Pesa Phone and Confirm Pochi Payment; the recipient must be the merchant's phone. The action sends to that M-Pesa number through the Send Money flow.

How do I pay a PayBill, biller, bank, or Till from desktop?

Open Paybill from Global Search or Services. Tenant and landlord Services biller tiles open this form; selecting an active bank in the Services bank picker also opens it with the bank's business number and account label prefilled. Buy Goods & Services opens the same form in Till mode.

  1. For a regular bill, enter the Business Number, the account value under the supplied account label (or Account Number), and an Amount (KES) of at least KES 10. For Till mode, enter a 5–7 digit Till Number; no account number is requested.
  2. Use Quick Select to prefill an active configured biller: School Fees, Electricity, DStv, GoTV, Zuku, StarTimes, SHA, Water Bill, WiFi, Insurance, or Loan Repayment. If a biller is not configured, enter the business and account details manually. View all services returns to the Services page.
  3. Check the displayed wallet balance. For a valid amount, review the live transaction fee and total, then select Pay KES [amount]. The wallet is charged for the bill plus fee; the merchant receives the bill amount.
  4. If the wallet cannot cover the total, the page reports the bill amount, fee, total required, and available balance. Select the explicit Top Up KES [shortfall] action to start the M-Pesa STK prompt for that exact shortfall. Approve it on your phone; once the deposit is confirmed, Pay Bill continues automatically. The page does not silently top up without that selection.
  5. Wait for Processing payment…. A successful result identifies the business/Till and account where relevant, shows the fee and M-Pesa receipt if returned, and offers Done. On failure, the screen states that the wallet was not charged and offers Try Again.

The center panel explains whether to use Quick Select or enter a business number; in Till mode it explains the 5–7 digit number requirement. The notification rail collapses while payment is in progress.

How does a tenant pay rent on the desktop app?

Open Pay Rent in the tenant sidebar, or select PAY RENT from the tenant Dashboard quick actions. The left rail lists unpaid schedules for active, tenant-signed leases, oldest due first; it also shows the wallet balance, quick actions, and up to five recent completed rent payments.

  1. Choose an unpaid month in the left rail. The detail panel opens and scrolls to its payment section. Review the property/unit, billing month, due date, status, charge breakdown, penalties if present, amount already paid, and balance. Use Show/Hide to expand or collapse the charges.
  2. Choose a payment method shown for that landlord. The options are conditional on the landlord's saved payout methods: Wallet, M-Pesa · STK, Bank Transfer (the landlord's PayBill), or M-Pesa Till. If a method is not set up by the landlord, it is not offered.
  3. For Wallet or M-Pesa, the amount defaults to the outstanding balance. Enter any amount from KES 10 up to the balance, or select Pay full balance. The page calculates the current transaction fee and total. A partial payment leaves the rest due. Wallet requires enough available balance for amount plus fee; use Top Up Wallet if short. M-Pesa sends the amount plus fee as an STK prompt to your saved profile number; approve it on your phone.
  4. For Bank Transfer, review the landlord's PayBill number/account and enter an amount up to the balance. For M-Pesa Till, review the landlord's Till number and optional account reference, then enter the amount. Both show rent, fee, and total and send the payment directly to the landlord's PayBill/Till, not to the landlord's KodiiPay wallet.
  5. If Bank Transfer or Till needs more than your wallet balance, the page shows the exact shortfall and asks before starting an M-Pesa top-up. Approve the STK prompt to top up and continue, or cancel and enter a smaller rent amount. The fee is calculated from the configured transaction-fee ranges.
  6. Wait for the payment state to finish. A successful payment updates the rent schedule; Bank/Till success confirms rent was marked paid and offers Download Receipt. Failed payments offer Try Again. Select refresh to reload the wallet, schedule list, and recent payments.

Status colors: red indicates overdue (and the current UI also styles Due red), blue is partial, and green is paid. A frozen wallet shows a red support warning. Fully paid schedules show an All Paid Up banner and no payment controls.

What can landlords and tenants do in the desktop app?

The Windows app is the same KodiiPay you use on mobile, just laid out for a wider workspace. The desktop version keeps the same account and roles, but it is easier to manage properties, units, tenant lists, and payment records with a keyboard and mouse.

For landlords

  • Manage properties, building details, and units.
  • Review incoming tenant invitations and active tenancies.
  • Handle rent tracking, payouts, notices, analytics, and reports.

For tenants

  • Review homes, tenancy details, rent schedules, and payment history.
  • Top up their wallet and pay rent or bills.
  • Message the landlord, handle maintenance, and manage other life-cycle actions.

The desktop screen arranges the same work differently, but the core landlord and tenant actions remain the same as on the mobile app.

How do I complete an M-Pesa payment from the desktop app?

When a payment starts from desktop, Safaricom sends the STK prompt to the M-Pesa number saved in the user profile. The user approves the charge on the phone, never inside the Windows app.

Wallet top-up

  1. Open Top Up, enter a valid amount, and start the M-Pesa top-up.
  2. Approve the STK prompt on the phone.
  3. Leave the desktop screen open while the wallet is confirmed.

Pay rent

  1. Open Pay Rent, choose the schedule, and select the payment option.
  2. Review the amount and fee, then start payment.
  3. Approve the prompt on the phone and keep the desktop flow open until the rent record updates.

If the M-Pesa number is missing, add it in the profile first. Other payment methods depend on the schedule and the landlord's configured payout methods.

How do I review or remove a linked computer?

After linking, the computer shows in the phone app's Link a Device list.

  1. Open the KodiiPay phone app and go to the QR scanner from the home screen header.
  2. Choose Link a Device and review the linked computers.
  3. Use the sign-out control beside a device you no longer trust. That session is revoked.

Only approve a QR code displayed on a machine you control. If you did not start the desktop sign-in, cancel the request and revoke the linked device.

What does KodiiPay show me the very first time I open it?

On a fresh install, KodiiPay plays a six-slide introduction before anything else. Use Next to move forward, Back to step back, or the dot markers to jump to a slide.

  1. One platform, endless possibilities — kodiipay as a complete property and financial ecosystem for landlords, tenants, families and businesses.
  2. Pay, collect and move money — M-Pesa STK Push, Paybill and bank transfer rent, wallet top-ups, send money, withdrawals and bill payments in one place.
  3. Find your next home, safely — browse verified vacant units and book with an escrow-protected, fully refundable deposit.
  4. Manage and track everything — properties, units, occupancy, agreements, earnings, documents, budgets, expenses, analytics and exportable reports.
  5. Stay connected and well maintained — chat, formal notices, photo maintenance requests with live status, and referral rewards.
  6. Bank-grade security, by default — PIN and biometric app lock, email OTP, device limits, KYC, escrow protection and QR receipts.

On the last slide the primary button changes to Get Started. Selecting it — or Skip at any point — moves you to the welcome screen. This introduction is shown once per install, so it will not reappear on later launches unless you clear the app's site data.

How do I choose between tenant and landlord when signing up?

The welcome screen is headed Get started with KodiiPay with the line One Platform. Endless Possibilities. and asks you to pick who you are registering as.

  1. Under I'm registering as, choose I'm a tenant — “Pay rent, manage your unit, chat with your landlord” — or I'm a landlord — “Manage properties, collect rent, track earnings”. The selected row fills in and shows a check mark.
  2. Select Create account. The button stays disabled until a role is chosen, and it carries your selection into the registration form.
  3. If you already have an account, select Sign in under Already have an account? instead.

The registration form keeps its own I'm a Tenant / I'm a Landlord toggle and asks again, so confirm the role there before you submit. A referral code already stored on the machine is carried into the sign-up link automatically.

How do I reset my password if I forgot it?

Password recovery is a two-screen flow. Start from the sign-in screen by selecting Use email to switch away from the QR code, then choose Forgot? beside the Password field.

  1. On Forgot Password? enter your email in the Email field and select Send Reset Code. The button shows Sending code… while it works.
  2. On success you see Reset code sent. Taking you to the next step… and the app moves you to the reset screen automatically with your email already filled in.
  3. On Reset Password, enter the Reset code from your email — six digits, non-digits are ignored — then set a New password of at least six characters and repeat it in Confirm new password. Use the eye icon to reveal either field.
  4. Select Reset Password. On success you are returned to sign in and can sign in with your new password.

If a code does not arrive, or the code has expired, use the Back arrow to return to Forgot Password? and request a new one — the reset screen has no resend button of its own. Messages you may see include Please enter a valid email address., Please enter the 6-digit code from your email., We lost track of which email this code is for. Request a new code., Password must be at least 6 characters. and Passwords do not match.

Why am I asked to verify my identity with a code after signing in?

If your account has two-factor verification enabled, KodiiPay asks you to prove the sign-in came from you before opening the app. The screen is headed Verify your identity and tells you a six-digit code was sent to your masked email address.

  1. Type the six digits on your keyboard. The code verifies itself automatically a moment after the sixth digit is entered, so there is nothing to press.
  2. If the code is wrong or has expired, clear the boxes and type it again. The messages Incorrect code. Check your email and try again. and Code expired. Tap Resend to get a new code. explain which happened.
  3. If you have requested too many codes, select Resend code once the countdown finishes. You cannot request another code while Resend in 60s is counting down.
  4. On success you see Verified! and the app opens your Dashboard. If your app lock is switched on, the lock screen is shown next.

The email contains your code only — No links are included in the email — only your code. This screen is a security gate with no back or cancel option, and signing in by Link a Device QR code skips it, because approving the request on your phone is itself the verification.

What is Device Limit Reached and how do I free up a device slot?

Your account has a maximum number of signed-in devices. When every slot is taken, KodiiPay signs out the oldest device to make room for the new one — but it asks you to confirm first with a code sent to your email.

  1. After a password sign-in you are shown Device Limit Reached, which explains: You're signed in on all your devices. We'll sign out the oldest one to make room.
  2. Enter the six-digit code from your email. It verifies automatically after the sixth digit.
  3. If your account also uses two-factor verification, you are passed to the identity check afterwards. Otherwise you go straight to the Dashboard.
  4. Select Resend code if the code does not arrive, after the countdown reaches zero.

To avoid this in future, raise your device limit in Profile & Settings before linking another computer, and sign out devices you no longer use from the linked devices list. Signing in with a Link a Device QR code does not count against the limit.

What is in the More menu?

More collects every secondary destination in one list, so you can reach screens that are not on the sidebar. It also carries your identity, a notification rail, and Sign Out.

As a tenant, the menu lists:

  • Find a Home, Favourites, Messages, My Tenancy, Download Payment History, Notices, Withdrawals, Payout Methods, Formal Notices, Property Reviews, Referrals, Support and Profile & Settings.

As a landlord, the menu is longer and lists:

  • Download Payment Reports, Expense Tracker, Budget Planner, Tenant Invitations, Maintenance Requests, Maintenance Tracker, Document Storage, Messages, Advanced Analytics, Units, Tenancy Agreements, Formal Notices, Payout Methods, Property Reviews, Referrals, Subscription & Billing, KYC Verification, Support and Profile & Settings.
  1. Select More in the sidebar, then choose any row to open that screen.
  2. As a tenant, the small pencil button beside your name edits your profile. As a landlord, open Profile & Settings instead.
  3. Select Sign Out and confirm. You are returned to the welcome screen.

Most landlord tools require an active subscription. If your plan has expired, selecting a gated row shows a notice with a View Plans button that takes you to Subscription & Billing instead of opening the screen. Formal Notices, Payout Methods, Referrals, Subscription & Billing, KYC Verification and Support stay available on any plan. The tenant version also shows the installed version, kodiipay v1.0.1, at the bottom.

How do I resize the left panel on the desktop app?

Every three-panel screen has a left list panel you can widen or narrow to suit your screen. There are two ways to change it.

  1. Use the panel-width control on the same top line as the update button. It offers three widths — Compact, Standard and Spacious — and selecting one snaps the panel to that size. Standard is the default.
  2. Or drag the thin handle on the right edge of the left panel to any width you prefer. It cannot be dragged narrower than the compact width or wider than roughly half your window.

Your chosen width is remembered the next time you open the app, so you only set it once.

How do I install a pending KodiiPay update?

When a newer KodiiPay release has been downloaded and is waiting, a Restart to update control appears on the same top line as the panel-width control. Its tooltip shows the exact version, for example Restart to update to KodiiPay 1.0.1.

  1. Finish anything unsaved, because the app restarts as soon as you continue.
  2. Select the Restart to update button.
  3. KodiiPay closes and reopens on the new version and signs you back in.

The button only appears when an update is genuinely ready. If you do not see it, you are already on the latest release.

How do I read and manage my notifications?

KodiiPay alerts you about rent payments, wallet activity, withdrawals, maintenance updates, messages, notices, KYC decisions and account changes. The same list appears in the rail beside most screens, and Notifications opens it full size. Open it from Global Search and search for Notifications.

  1. Notifications are grouped under Today, Yesterday or the full date, newest first, with a relative time such as Just now, 5m ago, 3h ago or 2d ago. Unread rows are tinted blue.
  2. Select a row to open the related screen — a payment due takes you to that rent schedule, a withdrawal update opens Withdrawals, a KYC update opens KYC Verification, and so on. Opening it also marks it read. A few older notification types simply return you to the Dashboard.
  3. Select Mark read to clear the unread counter on everything at once.
  4. To remove one notification, hover the row and select the delete icon. To remove everything, select Clear all and confirm — this cannot be undone.

When there is nothing to show you see All caught up and No notifications right now. The list updates live as new alerts arrive.

How do I use Help & Feedback to get answers?

Help & Feedback is a self-service hub. Select the round Help & Feedback button at the bottom of the sidebar, then pick a topic on the left to read it in the middle panel.

The ten topics are:

  • Help Centre — four guides covering Paying Rent, Wallet & Withdrawals, Maintenance & Notices and Security & Your Account.
  • Frequently Asked Questions — expandable answers on paying rent, topping up, withdrawing, money safety, overpaid rent and booking deposits.
  • Contact Us — call or WhatsApp 0769751326, or open the website support portal.
  • Chat With Support — start a support conversation in your browser.
  • Send Feedback — the one form on this screen (see below).
  • KYC Verification and Support Tickets — short reminders that identity documents go to KYC Verification and issues go to Support. These two entries are reference notes and do not open a screen — use the sidebar or More for those pages.
  • Rate the App — store rating options.
  • Terms & Privacy Policy — links to the Privacy Policy, Terms of Service and Security Policy on the website.
  • Channels & Reports — who builds KodiiPay, system status, and how to report a problem fastest.

To send feedback:

  1. Select Send Feedback in the topic list.
  2. Choose a category: Account, Payment, Maintenance, Property, Tenancy, Technical issue or Other.
  3. Type your message in the box, then select Send Feedback.

You see Feedback sent — thank you! when it works, and Please write some feedback first. if you submit an empty message. Every report is read by the team.

How do I compare what each subscription plan includes?

The plan comparison screen lists every active plan and shows exactly what each one unlocks. As a landlord, open Services and select See All Features.

  1. Your current plan is selected for you and marked with a Current badge. Select any other plan in the left list to compare it.
  2. Read the price line — for example KES 1500/mo, or No fee on the Free plan — together with its transaction fee percentage.
  3. Check the three limits at the top of the middle panel: Properties, Units and Trial. An unlimited limit shows as ∞ and a missing trial shows as 0d.
  4. Scroll the feature matrix. Features are grouped under Analytics & Reports, Finance & Billing, Tenant Management, Maintenance & Operations, Documents & Security, Team & Access and Support. Only the features your chosen plan includes are listed.
  5. Select Upgrade to go through with that plan. It opens Subscription & Billing.

Plans appear in ascending order — Free, then Basic, then Pro. If nothing loads you see No plans available, and a plan with no features listed yet shows This plan does not include any listed features yet.

How do I open a single transaction and download its receipt?

Every payment in KodiiPay has a detail view with its full breakdown. Open it by selecting a single transaction — on the Dashboard's recent list, on a row in My Wallet, or on a payment row in Pay Rent. It appears in the panel beside the list.

  1. Transaction Overview shows the amount as a green + for money in or a red − for money out, the payment channel, the status badge, the date and time, and — for rent — whether it was a Partial or Full Payment and which month it settled.
  2. Details rows show the Reference, Type, Channel, Gross Amount, Net Amount and, when a fee was charged, the Platform Fee.
  3. For rent, the Rent Schedule card adds the property, unit and address, a Paid, Partial, Due or Overdue status, the Total Due, Total Paid and Balance, and a Charge Breakdown splitting base rent, water, electricity, service charge, garbage, other charges and any Late Penalty.
  4. For bill payments, Bill Details shows the account number you paid and the M-Pesa receipt number. Otherwise a Counterparty card shows who you paid or who paid you.
  5. Select Download Receipt on a completed payment to save a PDF receipt, or Reports to open Payment History.

The receipt is offered only for completed payments — “Receipts are only issued for completed, successful payments.” There is no back button inside the detail view, so select a different transaction row to switch, or use your keyboard's back shortcut to return to the list.

How do I verify that a KodiiPay receipt is genuine?

The receipt verifier checks a payment against the KodiiPay ledger so you can confirm money really moved. Open it from the Verify Receipt link, or go straight to the /verify-receipt address inside the app.

  1. Choose Scan QR and point the camera at the QR code on the receipt, or choose Enter Number and type the receipt number yourself — for example e.g. LP-1756000000000. Rent receipts begin LP- and other payments begin KC-.
  2. Select Verify Receipt. If the camera is blocked or unavailable, the screen tells you and switches you to manual entry automatically.
  3. Read the result: Verification successful means the receipt is genuine and the payment completed; Receipt found — payment not completed means the reference is real but the payment is still pending or did not finish; Verification failed means no matching record was found.
  4. On success the panel lists Receipt No., Paid By, Paid To, Amount, Method, Status and Date — enough to confirm the payment without exposing anyone's private details. Select Verify Another to check a different receipt.

A tampered or invented receipt number will not match the ledger, so it can never pass verification.

What does the Property Details view show?

Selecting a property opens its full record. From Properties, select a property row; Properties then shows Property Details in the panel on the right.

  1. Review the record: Name, Type, Status, County, Ward, Sub-County, Address, GPS coordinates, Maps URL, Year Built and Description.
  2. Check the Amenities card, which lists any of Parking, Water, Electricity, Security, WiFi, Gym, Pool, CCTV, Borehole and Gated that you have switched on.
  3. Scroll to the units belonging to the property. Filter them with All, Occupied or Vacant — each shows a count — and select Add to create another unit here.
  4. Select Edit to change any of the property's details.

If the property cannot be loaded you see Failed to load property with a Retry button, or Property not found with Go Back. A property with no units yet shows No units yet and prompts you to add one.

How do I edit a property's details, photos, and amenities?

The property editor changes anything about a property without touching its units. Open Property Details from a property and select Edit.

  1. Change the Property Type, County (choose Select county from the searchable county list), Property Status, Sub County, Street Address, Year Built and Description.
  2. Set the status to Active, Inactive, Under Maintenance, Under Renovation, Listed for Sale or Delisted to control whether the property is rentable.
  3. Replace the Cover Photo, or use Additional Photos (Optional) and Add more photos. Every image is compressed to under 30 KB before storage, so you can add photos on a slow connection.
  4. Toggle the Building-Level Amenities that apply to the whole property.
  5. Save the property. You see Property updated successfully, or an error if the name or county was left empty.

Both Property name and county are required. A photo that fails to upload is reported as Failed to upload photo and the rest of your changes still save.

How do I add or edit a rental unit?

Every rentable space is a unit. Add one from a property, or edit an existing one from Units.

  1. Open Unit Details and enter the unit number and name. Set the unit status to Vacant, Occupied, Reserved, Maintenance or Unavailable, and its furnishing to Unfurnished, Semi-Furnished or Fully Furnished. Under Physical Characteristics, record bedrooms, bathrooms and size, and use Quick add to fill repeated values fast.
  2. Open Unit Pricing and enter Base Rent (KES) and Security Deposit (KES), then the recurring Utility Charges: Water (KES), Electricity (KES), Service (KES) and Garbage (KES). Total Monthly Charge updates as you type.
  3. Open Photos to set a cover image and add more. Up to four photos are allowed including the cover, and each is compressed to under 30 KB before storage.
  4. Tick any Unit-Specific Amenities that belong to this unit rather than the whole building.
  5. Select Add Unit to create it, or save your changes when editing.

A unit number and a base rent are both required — KodiiPay will tell you which one is missing. Exceeding the photo limit shows You can upload a maximum of 4 unit photos (including cover)., and a save that fails reports Failed to save unit. Please try again.

How does the 7-step property and unit wizard work?

The guided wizard creates a property and its first units in one pass, so you do not have to jump between screens. Start it with Add Property from Properties. The header always shows your position, for example Step 3 of 7 — Photos.

  1. Property Details — the property's name, type, county, sub-county, address, year built and description.
  2. Amenities — switch on the building-level amenities.
  3. Photos — a cover photo plus up to three more, for four in total.
  4. Unit Details — the first unit's number, name, status, furnishing and physical characteristics. The title becomes Unit 2 Details, Unit 3 Details and so on for each extra unit.
  5. Unit Pricing — base rent, security deposit and utility charges for that unit.
  6. Unit Photos — photos for that unit, up to four including the cover.
  7. Review & Create — check the summary, which lists the property's Name, Type, Location and Units.

Use Back to correct an earlier step, or the forward button which names the next step, such as Continue to Amenities. Select Add Another Unit on the final step to add more units before saving, then Create Property & Units. A summary with no units yet reads No units added yet. If your plan does not allow another property or unit, KodiiPay tells you it could not verify your limits — check your plan in Subscription & Billing and try again.

How do I store and organise lease documents?

Document Storage keeps your leases, inspections, agreements, invoices and receipts in one place, sorted into folders. As a landlord, open More and choose Document Storage.

  1. Pick a folder on the left: All, Leases, Inspections, Agreements, Invoices, Receipts or Other.
  2. Search with Search documents..., or narrow the list with the type filter, which defaults to All types and also offers Lease, Inspection, Agreement, Invoice, Receipt and Other.
  3. Select the upload button to add a file to the folder you are viewing. You see Document uploaded when it succeeds.
  4. Select a document to preview it. Where an expiry date applies, the document shows Expired, Expires in 12d or Valid — 12 Mar 2027 so you can renew before it lapses.
  5. To remove one, delete it and confirm. KodiiPay asks Delete “Lease Agreement.pdf”? This cannot be undone.

A folder with nothing in it shows No documents here.

How do I track maintenance tickets, scheduling, and costs?

Maintenance Tracker is your own repairs log, separate from tenant-submitted requests. It records what the job is, what it should cost, and what it actually cost. As a landlord, open More and choose Maintenance Tracker.

  1. Filter the list with All, Open, In Progress or Completed, and search with Search tickets....
  2. Create a ticket with a Title, Description, Priority, Category, an Estimated cost (KES) and an optional property — or leave it as No property linked for a general repair.
  3. Select a ticket to see its details, including the Estimated and Actual amounts and its current Status.
  4. Enter the real cost once the work is done and save it — you see Actual cost saved. Select Mark Complete to close the ticket.
  5. Update anything on an existing ticket with Ticket updated, or remove one and confirm Delete this ticket? This cannot be undone.

New tickets are confirmed with Maintenance ticket created. If nothing matches your filters you see No matches; a brand new tracker shows No tickets yet and explains that Maintenance tickets you create will appear here. This tool needs a paid plan — on Free you are told to Upgrade to Basic or Pro to unlock maintenance tickets, scheduling, and cost tracking.

How do I save and revisit favourite homes?

Favourites keeps a shortlist of homes you liked while browsing so you can compare them later. As a tenant, open More and choose Favourites.

  1. While browsing homes, select the heart on any listing to save it. Saved homes appear in your shortlist immediately and stay there between launches.
  2. Open Favourites to see your shortlist. The header shows how many you have saved, and Clear empties the whole list.
